A scan is not the same kind of image as a photograph. The information you care about is often concentrated in thin character strokes, signatures, stamps, barcodes, and form lines. When compression removes those edges, the page can become unusable even though the overall image still looks clean from a distance.
Why scanned documents become large
- Scanning at 600 DPI when 200–300 DPI would be sufficient for ordinary reading.
- Saving photographic color scans when the page is mostly black text on white paper.
- Including large empty margins or desk/background areas around the page.
- Using PNG for full-page camera captures with shadows and texture.
- Combining many high-resolution pages into one PDF.
Prepare the scan before you compress it
- Straighten the pageCorrect perspective and rotation. Slanted text creates more complicated edges and is harder to read after aggressive compression.
- Crop the backgroundRemove desk, scanner lid, fingers, and empty border. Those pixels add bytes without adding document value.
- Improve contrast carefullyA clean white page and dark text compress efficiently, but avoid clipping faint stamps, pencil marks, signatures, or embossed details.
- Choose the final targetUse the actual portal or email limit and leave a small margin rather than trying to make the file as tiny as possible.
- Check the smallest textZoom to the fine print, not the title. If the smallest required characters are readable, the rest of the page usually is too.
Resolution matters more than the word ‘high quality’
For a document that will only be read on screen, extremely high scan resolution rarely improves practical readability. A clean page at moderate resolution can survive compression better than a noisy, shadowed page at a very high resolution. The exact threshold depends on font size, language, line weight, and whether the document contains diagrams or handwriting.
